Privacy Policy — Legacy Storyteller Kit

1. Who this policy covers
Legacy Storyteller Kit is operated by Althea Cooper, an individual sole proprietor based in Georgia, United States. The Service is presented under the Wisdom Talks brand. Wisdom Talks is a brand name only and is not a separate legal entity.
This Privacy Policy explains how we ("we," "us," the "Service") collect, use, retain and delete information when you ("you," the "member") use the app to record, transcribe and preserve someone's life story. Questions may be sent to wisdomtalks.org@gmail.com.
Because the Service involves preserving the words of a third party — the person being interviewed, who does not create their own account — this policy also explains what we collect about that person and your responsibility for their permission. See Section 7.
2. Interest form information
If you fill out the "Get started" interest form before creating an account, we collect your first name, email address, an optional phone number, and which kind of storyteller you would like to preserve. We use it to show you the complete membership details, to connect your form to your account if you subscribe, and to answer you if you reply to us.
Separate email and SMS consent. Promotional email and text messages each require their own separate, unchecked-by-default consent box on that form. Submitting the form is not general marketing consent, and entering a phone number is never treated as consent to text you. Without the email box checked we send no promotional campaigns, sales sequences or general marketing — only messages that are essential to your account or the Service, and any confirmation of your form submission once outbound email delivery is configured for the Service. Outbound email delivery is not enabled at the time of this policy's effective date, so form submissions are currently confirmed on screen rather than by email.
Twelve-month retention for unsubscribed leads. If you submit the interest form and never create an account, we keep your identifying information for no longer than 12 months. After that, a scheduled server-side process securely deletes the name, email address, phone number and other identifying details. Anonymous campaign totals may be kept for reporting, and consent records and their timestamps are preserved for as long as legally necessary.
Campaign information. If you arrive through a link carrying campaign tags (utm_source, utm_medium, utm_campaign), we store those tags with your submission so we know which link brought you here.
You can withdraw either marketing consent at any time by using the unsubscribe link in a marketing email, replying STOP to a text message, or emailing wisdomtalks.org@gmail.com.
3. What we collect once you have an account
Account information: your email address and login credentials, plus subscription state.
People profiles: the name, relationship, optional birth year, notes and photo you add for each person whose story you are keeping.
Story content:
- Audio recordings you make in the app or upload
- Transcripts generated from that audio, including any corrections you make
- Typed answers you enter directly
- Photographs and documents you upload, with their captions, dates, descriptions and the people you connect them to
- AI-generated keepsake text produced from the above, including your edits
Recording consent records: the confirmation you give that you have permission to record, transcribe, preserve and process a person's story, with the name confirmed and a timestamp.
Payment information: billing is handled by Stripe. We store only the identifiers and subscription state Stripe returns to us; we never see or store your full card details.
Usage and security data: basic technical and log data needed to operate and secure the Service, including hashed records of sign-in and password-reset attempts used for rate limiting.
4. Media storage allowance
Each membership includes 2 GB of private media storage. That allowance covers your original audio recordings, photographs and documents. Transcripts, typed answers, keepsake text, the compressed thumbnails we generate for the gallery and other small system-generated files do not count against it.
When the allowance is full, new recordings and uploads are refused by our server. Typed answers keep working, and viewing, downloading, exporting and account deletion are never blocked. Removing media frees the space again. Storage is never advertised as unlimited. For platform capacity planning we separately measure all stored objects, including thumbnails and generated files.
5. How we use your information
We use the information above to:
- Provide the core functionality of the Service (recording, transcription, photographs and documents, keepsake generation, downloads and exports)
- Maintain your account and process subscription billing
- Keep the Service secure and troubleshoot problems
- Communicate with you about your account or the Service
- Send storytelling guidance and product updates by email or text only if you gave that specific consent
We do not sell your personal information or the recorded content of the people you interview.
6. Third-party service providers
To provide the Service we share content with the processors below, and only to deliver the Service to you. These are the providers the application actually uses.
Deepgram (transcription). Audio recordings are sent to Deepgram to convert speech to text. Requests are sent with Deepgram's model-training opt-out parameter enabled.
Anthropic (Claude API). Transcripts and typed answers are sent to Anthropic's Claude API to be shaped into keepsake narrative text.
Lovable Cloud / Supabase (hosting, database and storage). Account data, people profiles, recordings, photographs, documents, transcripts and keepsakes are stored using Lovable Cloud, which is built on Supabase infrastructure. Supabase's privacy policy is at https://supabase.com/privacy.
Stripe (payment processing). Subscription payments are processed directly by Stripe. Stripe's privacy policy is at https://stripe.com/privacy.
Each provider's own handling of data is governed by its own terms and privacy policy, and those terms can change. We describe the settings we send and the purposes we use, and we do not make guarantees about a provider's internal practices beyond what its published terms state.
7. Recording another person — your responsibility
The Service is built around preserving conversations with someone else. That person is not a member, does not agree to our Terms of Service, and may not be familiar with how recorded audio is processed by transcription and AI tools.
When you add a person and when you begin recording, you confirm that:
- You have told them the conversation is being recorded
- You have their permission to record, transcribe, preserve and process their story using the tools described in this policy
- You will stop recording, skip a question, or delete content if they ask you to
People under 18. The account and the paid subscription must be controlled by an adult who is at least 18. The person featured in a story may be any age, but if they are under 18 you must have permission from their parent or legal guardian before recording or preserving their story.
We store your confirmation and its timestamp, and we show a short reminder before recording begins. We rely on you to obtain permission directly, because we have no independent relationship with the person being interviewed. If that person contacts us at wisdomtalks.org@gmail.com about content preserved about them, we will work with you in good faith to honour their request.
8. If you cancel — read-only access
Cancellation takes effect at the end of your current paid billing period, and you keep full access through that date. No prorated refunds are provided for part of a month. After paid access ends your account becomes read-only:
- You can sign in, view, download and export everything you preserved
- You cannot create new people, sessions, recordings, typed answers, photographs or documents
- You cannot edit existing stories or attachment information
- Reactivating the membership restores creating and editing
- Delete My Account remains available
Preserved content remains available until you delete your account or the Legacy Storyteller Kit service closes. Cancelled content is not automatically deleted. If the Service is ever scheduled to close, we will give members at least 60 days' advance notice and export access whenever reasonably possible.
9. Account deletion and retention
When you choose Delete My Account:
- We show you a clear confirmation explaining exactly what will be deleted
- Your account is disabled immediately
- You have a seven-day recovery period in which you can reverse the request, which cancels the scheduled deletion
- If outbound email delivery is configured, we send a confirmation showing the scheduled deletion date
- After seven days a scheduled server-side process securely deletes your stories, recordings, photographs, documents, thumbnails, transcripts, keepsakes, people profiles and other member-generated content — it does not depend on you returning to the app
- Infrastructure backups held by our hosting provider expire within roughly 30 additional days
- We keep only financial, tax, fraud-prevention or legal records we are required to retain
You can also delete an individual session, a person's whole profile, or a single photograph or document at any time while your membership allows editing.
10. Security
We use reasonable technical and organizational measures to protect your information, including relying on our infrastructure providers' security practices. Recordings, photographs and documents are held in private storage and reached only through short-lived signed links issued to you. Database rules restrict every member's rows to that member, and interest-form submissions can only be read by trusted server code. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
11. Your choices
You can withdraw marketing consent at any time, ask us what we hold about you, or ask us to delete information by emailing wisdomtalks.org@gmail.com. You can delete your account yourself from within the app, including while your account is read-only.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will notify members of material changes.
